The Role
In this part time role you will be responsible for providing exceptional reception and administration support to the Adelaide office, including providing back up and relief to the Contracts Administrator/Customer Liaison Officer generally, and during periods of leave and peak periods.
  
Your duties will include but are not limited to:
  • Manage incoming and outgoing mail each day and distribute to staff in a timely manner, as well as booking and confirming courier deliveries.
  • Process incoming general reception emails.
  • Greet guests in a warm professional manner and facilitate water, tea and coffee for all meetings.
  • Provide administrative assistance to senior managers including meeting coordination and diary management as required.
  • Data entry and various other document production.
  • Processing all office invoices, liaising with accounts department, collect receipts and process monthly corporate credit card statements.
  • Set up new staff welcome pack & implement onboarding checklist.
  • Ordering stationery and kitchen supplies and maintaining stock levels.
  • Ensure the office is always kept neat and organised.  

The Like Mind
To be successful in this role, you will ideally have previous experience as an Administration Assistant and demonstrate confidence using Microsoft Office Suite and CRM systems, as well as the ability to learn new programs quickly. You would ideally have worked within a property or building and construction environment previously. You will have high attention to detail and strong time management skills, allowing you to meet required timeframes. You will also be Friendly, warm, enthusiastic, and personable nature. You will be pro-active and willing to take ownership of tasks, taking the initiative with a “can-do” attitude.
